Office Admin/Receptionist in Hoover- Construction Experience a Plus!
$18 - $20 an hour

Join a stable and highly respected firm with a 30+ year history. Our client is seeking a mature, professional, and discreet Office Admin/Receptionist to serve as the welcoming presence and organizational hub of their office.

This role combines front-desk management with critical administrative support, particularly focused on documentation for our project bidding and construction processes. Experience within the construction or design industry is a highly desirable, though not required, bonus!

Responsibilities:
  • Reporting to the Director of Administration, you will be the first impression of the firm and a vital part of the administrative team.
  • Warmly greet and welcome clients, visitors, and vendors.
  • Answer and route a moderate volume of incoming phone calls and manage client check drop-offs and deliveries.
  • Coordinate crucial documents and information for Bid Day processes.
  • Create and distribute bid lists and prepare documents for bidders.
  • Verify contractor licenses and required classifications online.
  • Assist with preparing plans, specifications, addendums, and forms for submission to state and local entities.
  • Manage the upload and distribution of project documents to various digital platforms.
  • Manage and distribute incoming and outgoing mail, and handle all posting/shipping requests.
  • Maintain a complete inventory of office supplies and process reorders.
  • Schedule conference room usage and coordinate catering for "lunch and learn" sessions for staff.
  • Create, review, and distribute observation reports.

Qualifications:
  • Proven, mid-level experience in a professional front desk, receptionist, or administrative assistant role strongly preferred.
  • Experience in a professional services firm (especially design or construction) is a plus.
  • Must be a mature professional capable of exercising a high level of discretion and confidentiality regarding firm and project information.
  • Excellent verbal and written communication skills with a friendly, professional demeanor.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, and Outlook)
  • Exceptional organizational abilities and meticulous attention to detail and time management.
