This is a fantastic opportunity for someone with experience as a project manager within a general contractor or architecture firm. This hire will be a vital support for their large construction administration team, which regularly travels to job sites. The primary responsibilities will include providing in-office administrative support, handling paperwork, inquiries, scheduling, and generally being a "catch-all" for the team. While the role is mainly office-based, there may be occasional travel to job sites. Our client is looking for a detail-oriented and tech-savvy individual who can efficiently manage various tasks and provide exceptional support.
Responsibilities:
- Helping Field Administrators initiate new construction projects.
- Assisting with the processing of crucial project documents like submittals and shop drawings.
- Monitoring and helping to facilitate responses to Requests for Information (RFIs), Architects' Supplemental Instructions (ASIs), and Change Order Requests (CORs).
- Supporting the coordination of field-related issues with design team, including refining details or addressing missing information on plans.
- Assisting with the creation and processing of contingency authorizations.
- Managing and archiving essential close-out documentation.
- Tracking value engineering lists and verifying reviews by engineers, in coordination with field teams.
- Drafting various project-related communications, such as general letters, technical standards, and color/finish schedules.
- Helping to organize year-end inspections alongside Field Construction Administrators.
- Supporting proper documentation and filing for projects.
- Attending pre-bid meetings and bid openings as needed.
Qualifications:
- A high school diploma or equivalent is required; an Associate’s or Bachelor’s degree in Construction Administration or a related field is a plus.
- At least 2-3 years of experience within the construction industry.
- A solid grasp of commercial construction processes, products, and services.
- Exceptional ability to manage your time and keep multiple projects on track simultaneously.
- The ability to quickly learn and align with our existing company processes and methods.
- Strong skills in identifying issues and finding effective solutions.
- Competence in Microsoft Office Suite (Word, Excel, Outlook).
- The capability to lead discussions in meetings, facilitate conversations, and evaluate outcomes.
