This role is essential to ensuring that their employees—across legal and administrative functions have the support, tools, and training they need to operate effectively within our business systems and processes. This person will provide hands-on user support for the firm’s internal systems and operational procedures . This position focuses on helping team members—including legal assistants, paralegals, attorneys, and administrative staff navigate business tools such as word processing, billing, email, calendaring, and document management systems.

Operations Support Specialist – Established Law Firm$60K–$70K

We are seeking a dedicated and detail-oriented Operations Support Specialist to join our Client's team. This role is essential to ensuring that their employees—across legal and administrative functions have the support, tools, and training they need to operate effectively within our business systems and processes. This person will provide hands-on user support for the firm’s internal systems and operational procedures . This position focuses on helping team members—including legal assistants, paralegals, attorneys, and administrative staff navigate business tools such as word processing, billing, email, calendaring, and document management systems.
Responsibilities:
- Serve as the first point of contact for employee questions regarding business systems and procedures
- Provide user-level support for systems such as timekeeping, billing, email, calendaring, and document management
- Deliver training and orientation for new employees on firm systems and workflows
- Develop and maintain a firm-wide knowledge base of support issues and solutions
- Track and monitor technical issues, escalating and following up as needed
- Maintain accurate training records for all employees
- Identify and recommend improvements in operational processes and employee proficiency
- Collaborate with Practice Groups, Managers, and firm leadership to enhance system usage and efficiency
- Create and update the firm’s Standard Operating Procedures manual
- Minimum 2 years of experience providing training and user support for business/legal systems
- Background in developing training materials and maintaining employee training records
- Excellent interpersonal, communication, and problem-solving skills
- Strong organizational abilities and sound judgment
- Proactive work ethic with the ability to support and gain trust across the firm
- Solid knowledge of Microsoft Office, Windows-based timekeeping/billing tools, and legal platforms such as Westlaw and iManage
